How do I register?

What if I need to make a change to my registration?

What if I need to cancel my registration?

If you cancel by September 14, 2023, you will be refunded all but $100 per person for the main Gathering registration. No refunds will be given on or after September 15, 2023, unless the cancelation is due to a major medical issue. These fees help offset the expenses already incurred in anticipation of your attendance. Refund payments will be made using the same payment method used. Contact NSG@navigators.org to cancel your registration.

What is the cost of registration?

Registration Rates (through July 1). Registration rates will increase by $100 per person on July 2, 2023.

  • $729 – Navigator Reps, Associate staff, USHQ staff, Glen Eyrie staff, and guests
  • $689 – Staff-in-Training, intern staff, and Mission staff
  • $629 – EDGE Corps staff

What is covered in the registration fee?

The registration fee covers all general sessions and breakouts, the exhibit hall, and the following six meals: three breakfasts, two lunches, and one dinner. See the NSG23 schedule for more details.

What's up with the red name tag lanyards?

At the NSG23, watch for people with red lanyards. They are associated with sensitive ministries or locations and have asked not to be photographed. If these people appear in your photos, even in the background, do not post the photos on social media or use them in your ministry newsletters.

How do I volunteer to help during NSG23?

Volunteers play a critical part in setting the culture of this event by creating a welcoming, helpful, and inclusive tone. We want attendees to feel like this is a place for them and our volunteers are vital in communicating that message. Thank you!

Please note: These volunteer positions are unpaid and do not qualify you to attend the Gathering at a discount. Registration, travel, lodging, and meals are your responsibility (except for meals connected to your volunteer shifts indicated below). The use of volunteers goes a long way to keeping the registration cost down.

Hotel Questions

What are the costs of the hotels?

We have negotiated hotel room rates at several hotels in the Irving, Texas area. You may reserve additional nights for your personal stay at the same rate (plus tax) based on availability. Details are on the Hotel Reservations page.

How do I apply our tax-exempt status to my hotel bill?

For your hotel room charges paid by p-card to be tax-exempt, you must download the occupancy tax-exempt affidavit, print it, fill it out, and have it with you upon check-in. All Navigator staff paying with a p-card are authorized to sign this affidavit. If you don’t have it with you, request one from the NSG23 info booth located at the Irving Convention Center.

Please note:

  • Additional nights at the hotel for your personal stay before or after the Gathering need to be charged to a personal credit card and are not tax-exempt.
  • Any hotel reservations paid for with personal funds or a personal credit card, even if they will be reimbursed by The Navigators, cannot be tax-exempt (the hotel would be in violation of Texas sales tax laws if it didn’t charge tax).

How do I get from the airports to the NSG23 partner hotels?

Dallas Fort Worth Airport (DFW) and Dallas Love Field (DAL) are a short ride from the NSG23 partner hotels. The NSG23 partner hotels do not provide airport shuttles. Round-trip ground transportation between the airport and your hotel is your responsibility. Ground transportation options are listed on the Transportation page.

Why can't I get a room at the Westin or Texican Court hotels?

More people have decided to arrive earlier than we expected. The result is that these two hotels are at full capacity. We’ve added more rooms at the Hyatt Place, Fairfield Inn, and Holiday Inn Las Colinas hotels from November 6 to November 8. If you plan to arrive Thursday, November 9 and depart Sunday, November 12, for the main Gathering, the Marriott is a great option (a 13-minute walk to the ICC).

Funding and Financial Questions

When will my registration fee come out of my cost center?

Your registration fee will be transferred out of your cost center two to four weeks after you register.

Are there fundraising resources for this event?

What may I pay for with my p-card or cost center?

Conference registration for yourself. Transportation for yourself. Hotel registration for yourself for the days you’re there on Navigator business. Meals for yourself that are not provided during the NSG23.

If your spouse is significantly involved in Navigator ministry and registers to attend the National Staff Gathering, the items listed above also apply to your spouse as well.

Expenses related to children are personal and must be paid with personal funds. These include: all travel expenses and additional hotel fees such as a crib or rollaway bed.

Expenses related to your staff team. “Entertainment” is an appropriate business expense, but the entertainment needs to be connected to your job. In this case, it would be building relationships with your co-workers. If two or more co-workers go to do an activity together, such as bowling, it can be considered business entertainment. When you do your expense report, file this as “Meals/Entertainment – Meetings/Ministry.”

Due to additional costs of attending the NSG23, you may need to increase your p-card limit for the month of November. For more information on how to request this increase, please contact ap.team@navigators.org.

Other Questions

May I invite donors and/or ministry partners to this event?

This is primarily a staff conference. Some prospective staff will attend, as will some ministry partners who are especially engaged in Navigator ministry. So before inviting any of your ministry partners, please ask yourself if you’d consider them uniquely involved or strategic in what you do.

What are the childcare options at NSG23?

There will be two rooms where parents can supervise their own children up to age 8 during the plenary and workshop sessions. One will be a quiet room for nursing, napping, etc. and the other will be noise-friendly with toys, space to play, and a livestream of the plenary sessions. The quiet room will have a limited number of Pack-n-Plays available on a first-come, first-served basis. Our goal for the quiet room is to provide a good place for naps (e.g. dim lighting and a noise machine), but we will clean the room at regular intervals and can’t guarantee interruption-free naps.

There will be no structured children’s program at NSG23. We surveyed staff parents to learn what they value in relation to bringing their children to the Gathering, leading to this decision.

Where do I sign up for workshops, roundtable discussions, and optional learning sessions?

You may see the list of workshops, optional learning sessions, and roundtable discussions here on the NSG23 website. Once registered, you may download the NSG23 mobile app to select your options.

What will we experience at the National Staff Gathering?

NSG23 will provide a place for Navigator staff to gather and soak in the Word of God, to reflect on our Calling to advance the gospel through spiritual generations, and to envision what the Lord may have in store for our future of making multiplying disciples Life-to-Life®.

Our plan for the Gathering is to bless our staff with time for fellowship and interaction with peers and leaders, opportunities to be inspired through stories and the Word of God, a sustainable pace, and engaging in conversations and deepening relationships with old friends and new.

You will be reminded of why you became a Navigator whether it was five months ago or 50 years ago to see a vital movement of the gospel through everyday disciplemakers next door to everywhere!
